Not every business needs what we do, and we would rather be upfront about that than waste anyone's time. Here is a straightforward look at who OpFlow works best with, and who would be better served elsewhere.

You are a good fit if...

You run a small business with 1 to 50 staff

Our services are designed for businesses in this range. Large enough to have real operational complexity (multiple tools, repeating processes, data moving between systems), but small enough that hiring a full-time operations or IT person does not make financial sense.

This is the sweet spot where automation and systems work deliver outsized returns. A single automation that saves 5 hours a week is worth far more to a 10-person business than to a 500-person enterprise, relative to total operating cost.

You are drowning in admin, not in growth

The businesses that get the most value from our work are the ones where the founder or key staff are spending too much time on repetitive tasks. Chasing invoices, copying data between tools, sending follow-up emails, building reports by hand, onboarding clients manually.

If your problem is "I do not have enough customers", we are probably not your first call. If your problem is "I have customers but I am spending half my time on admin instead of serving them", that is exactly what we solve.

You already have some tools in place

We do not require a sophisticated tech stack, but we do need something to work with. A CRM (even a basic one), accounting software (Xero, MYOB, Zoho Books), an email platform, and ideally a cloud storage setup. If you are running your entire business from a personal email account and a paper notebook, the first step is getting basic systems in place (which is what our SysCare service does) before automation makes sense.

You are based in Australia

We work with businesses Australia-wide, remotely. For businesses in regional NSW (Newcastle, Hunter Valley, Port Macquarie, Tamworth, Armidale, and surrounding areas), we also offer on-site work. Our pricing is in AUD, our advice accounts for Australian regulations and market conditions, and our working hours are AEST.

You want someone who understands business, not just technology

We are not a software shop that builds whatever you spec. We start by understanding your business: what you sell, how you deliver it, where the bottlenecks are, and what success looks like. The technology is the tool, not the goal.

You are probably not a good fit if...

You are looking for an MSP

We do not manage your IT infrastructure. We do not handle antivirus, device management, network security, or server administration. If you need a managed service provider, that is a different engagement. We work alongside MSPs, not as a replacement.

You want custom software development

We build automations using existing platforms (Make.com, Power Automate, n8n, Zapier). We do not write bespoke applications, build mobile apps, or develop custom SaaS products. If your need is genuinely custom software, you need a development agency.

You need enterprise-scale solutions

If your business has 200 staff, a dedicated IT team, and existing enterprise automation (ServiceNow, UiPath, Salesforce Flow), our services are scoped below your needs. We specialise in the 1-to-50 range where those tools are overkill.

Your problem is marketing, not operations

We do not run ad campaigns, manage social media accounts, build marketing funnels, or do SEO. We can automate the operational side of marketing (lead capture to CRM, automated follow-ups, reporting on campaign performance), but the strategic and creative work is outside our scope.

You want the cheapest option

Our pricing reflects the depth of work involved. An automation audit is $699 because it produces a comprehensive, personalised report. Bot Care is $149/month per bot because it includes genuine proactive monitoring, not just a support ticket queue. If you are looking for the lowest price rather than the best outcome, we are probably not the right fit.

The grey area

Some businesses sit between categories. You might have 60 staff but your operations team is just two people. You might need some light custom development alongside your automations. You might be pre-revenue but setting up systems before your first client.

In those cases, the best thing to do is have the conversation. A free Automation Assessment or Systems Assessment takes 20 to 40 minutes and will tell both of us whether the fit is right. If it is not, we will say so and point you in a better direction.

We would rather lose a potential client honestly than gain one who discovers three months in that they needed something different.
